What is BackOffice?

BackOffice is the central operations platform that gives wholesale suppliers and distributors complete control over their day-to-day business. It replaces scattered spreadsheets, phone-based order taking, and disconnected tools with a single, real-time dashboard designed for the way distribution companies actually work.

From the moment a customer places an order in Supply Now to the second a driver confirms delivery in Driver Pro, BackOffice is the command center that orchestrates every step in between: order processing, catalog management, client relationships, invoicing, and delivery zone planning.

How it works

BackOffice turns a complex supply chain into three straightforward steps. Each step flows naturally into the next, keeping your team focused and your customers informed.

Step 1: Set up your catalog

Import your product catalog with categories, variants, pricing tiers, and units of measure. Configure client-specific pricing rules so each customer sees their negotiated rates when ordering through Supply Now.

Step 2: Manage incoming orders

Orders from Supply Now arrive instantly. Sales managers work in list view — filtering by status, client, zone, searching by order number, and bulk-updating statuses. The Kanban board gives a visual overview of the entire pipeline with drag-and-drop workflow.

List view — the daily workhorse for sales managers. Filter, search, sort, group, and bulk-edit orders.

Step 3: Invoice automatically

When an order is delivered, BackOffice generates a compliant invoice with Swiss QR-Bill support. Configure automatic billing schemes per client, consolidate multiple deliveries into a single invoice, or generate credit notes — all from the invoice detail screen.

Dashboard

The dashboard provides a real-time snapshot of your entire operation. Key metrics, pending orders, delivery status, and revenue trends are visible at a glance — so you can spot bottlenecks before they become problems.

What you see on the dashboard

  • trending_upRevenue and order volume trends (daily, weekly, monthly)
  • pending_actionsPending orders requiring attention, grouped by urgency
  • local_shippingActive deliveries and driver status in real time
  • groupNew client registrations and top accounts by volume
  • warningAlerts for overdue invoices, stock issues, and failed deliveries

Part of 8Move

BackOffice is not a standalone tool — it is the operational core of the 8Move ecosystem. Each application in the suite handles a different stage of the supply chain, and BackOffice ties them all together.
