User & Role Management

Multiple users with scoped permissions. Admin, manager, dispatcher, sales — everyone sees only what they need, and every action is recorded.

User Directory

The user directory lists all team members with access to your BackOffice instance. Each user has a profile with their name, email, role, status (active, invited, suspended), and last login timestamp. Admins can search, filter, and manage users from this central view.

Multi-supplier mode: A single user can belong to multiple supplier organizations. When they log in, they select which supplier context to work in. This is ideal for management companies that operate several distribution brands under one umbrella.

Roles & Permissions

BackOffice uses a role-based access control (RBAC) system that determines what each user can see and do. Roles are assigned per user and define granular permissions across all modules.

Custom roles: The roles above are the defaults. Admins can create custom roles with fine-grained permissions — for example, a "Catalog Manager" role that has full catalog access but read-only access to everything else.

Invitations

Add new team members by sending an email invitation directly from BackOffice. The invitation includes a secure link that lets the recipient create their account, set a password, and immediately access the system with their assigned role.

Invitation workflow

  • person_addStep 1:Admin enters the new user's email and selects a role
  • emailStep 2:System sends a branded invitation email with a secure registration link
  • how_to_regStep 3:Recipient clicks the link, sets their password, and activates their account
  • check_circleStep 4:User appears in the directory as "Active" and can start working immediately

Pending invitations are tracked in the user directory with an "Invited" status badge. Admins can resend the invitation, change the assigned role before acceptance, or revoke the invitation entirely. Invitation links expire after 7 days for security.

Activity Log

Every significant action in BackOffice is recorded in the activity log — order status changes, price modifications, client updates, invoice generation, user logins, and permission changes. The log captures who performed the action, what changed, and when it happened.

Use the activity log for compliance audits, dispute resolution, or simply understanding who made a specific change. Filter by user, action type, module, or date range to quickly find the information you need.
